Overview
Section titled “Overview”This SOP covers the creation and initial setup of social media business profiles across X (Twitter), Pinterest, Facebook, Instagram, and LinkedIn. Social profiles are foundational for business credibility, content distribution, and customer engagement. The GBP Specialist creates accounts using consistent branding and business information during the P0 onboarding phase.
Key Inputs:
- Client business information (name, phone, address, website, logo, description)
- Client email address or dedicated email for social accounts
- Brand guidelines (colors, voice, tone)
- Profile photos and imagery
- Task Tracker documentation
Escalation Path: GBP Specialist → CSM → Ops Lead → Nick (for account access issues)

Prerequisites Checklist

- Business name: Exact name for all profiles (must match GBP and citations)
- Business email: Client’s primary email or dedicated social inbox
- Business phone: Direct business number for profiles
- Business address: Full address for location-based businesses
- Website URL: Homepage or contact page
- Business description: 1-2 sentence description of services
- Logo: High-resolution PNG or JPG (square 1:1 ratio preferred)
- Profile photo options: 2-3 professional images (team, storefront, or work sample)
- Brand guidelines: Colors, voice, tone (from client onboarding form)
- Task Tracker link: Ready to document credentials and login info securely
Email & Account Selection Strategy
Section titled “Email & Account Selection Strategy”Email choice options:
- Client’s existing Gmail: Use client’s established business email (preferred)
- Provides continuity with other business tools
- Client retains ownership of account
- Easier for future account management by client
- Dedicated social media inbox: Create new Gmail for all social accounts (if client prefers)
- Centralizes social management
- Separates from general business email
- Example: social@businessname.com
- Agency email (temporary): Use agency email only if client requests (not recommended for long-term)
- Limits client control
- Creates transfer issues if client leaves
- Not ideal for account ownership
Decision: Confirm email choice with CSM and document in Task Tracker before proceeding.

Step-by-Step Setup

Log Into Google Chrome with Business Email
- Open Google Chrome (recommended browser for consistency)
- Click profile icon (top right)
- Select “Add” or “Sign in to Chrome”
- Enter business email address (client’s Gmail or dedicated social inbox)
- Complete two-factor authentication if prompted
- Confirm you’re signed into Chrome with business email

Purpose of Chrome Profile
- Using a dedicated Chrome profile ensures all logins are centralized
- Easier for CSM/client to take over account management later
- Separates business profiles from personal browsing
- Easier to grant access to other team members if needed

Optional: Enable Chrome Sync
- This syncs passwords and bookmarks (skip if security concern)
- If enabled, passwords are stored in secure Chrome vault
- Task Tracker should ALSO store login credentials as backup
- Confirm sync settings with Ops Lead before enabling for multiple clients

Profile Creation Order & Details

Platform 1: X (Twitter)

Create Account
- Navigate to x.com (formerly twitter.com)
- Click “Sign up” button
- Enter email: Business email (already logged in Chrome)
- Create strong password (store in Task Tracker)
- Verify email address (check inbox)

Complete Profile Information
- Name: Business name (exact match to GBP)
- Username (@handle): Ideally @BusinessName (no spaces, no special characters except underscore)
- Bio/Description: 160 characters max, benefit-focused description
- Example: “Professional plumbing services for residential & commercial. 24/7 emergency response. [City, State]”
- Website URL: Link to homepage or services page
- Profile photo: Logo or professional image (square format)
- Header image: Optional branded banner (1500x500px)
- Location: City, State (if service area applies)

Enable Business Features (if available)
- Some accounts can upgrade to “Business Account”
- Look for Business Profile toggle in settings
- Enables verified badge eligibility (not guaranteed)

Save & Document
- Screenshot login credentials (email, password)
- Store in Task Tracker: Account created, profile complete, username recorded
- Do NOT share password in Slack (only in Task Tracker)
Platform 2: Pinterest

Create Account
- Navigate to pinterest.com
- Click “Sign up”
- Enter email: Business email
- Create password (store in Task Tracker)
- Verify email

Convert to Business Account
- After profile creation, go to Settings (gear icon)
- Select “Upgrade to a Business Account”
- Pinterest prompts for business information
- Category: Select applicable (e.g., “Home Improvement,” “Services,” “Other”)
- This enables Pinterest analytics and advertising features

Complete Business Profile
- Business name: Official business name
- Bio: 160 characters, benefit-focused
- Website: Homepage URL
- Profile image: Logo or professional photo
- Category: Business type (from above)

Create First Board (Optional but recommended)
- Create board: “Our Work” or “Portfolio”
- Description: “Examples of our recent projects”
- This gives profile credibility even before pinning content

- Store credentials in Task Tracker
- Note business account upgrade completion
- Record first board name if created
Platform 3: Facebook

Create Account
- Navigate to facebook.com
- Click “Create New Account”
- Enter: Name (business name), Email (business email), Password, Birth date (use business start date if unsure)
- Complete sign-up and email verification

Immediately Convert to Business Page
- Facebook now directs new accounts to Business Profile conversion
- If not prompted: Go to Settings (gear icon) → Select “Create Business Page”
- Choose “Business or Brand”
- Enter:
- Business name: Official name (exact match)
- Category: Select relevant (Plumber, Restaurant, etc.)
- Address: Full business address (if location-based)
- Phone: Business phone number
- Website: Homepage URL

Complete Business Page Profile
- About section: Business description (150+ characters)
- Profile photo: Logo (square, 200x200px minimum)
- Cover photo: Branded banner (820x312px)
- Hours: Add business hours (if applicable)
- Services: List main services offered
- Payment methods: Add if applicable (e.g., “Accepts credit cards”)

Set Up Messaging (Optional)
- Enable Facebook Messenger for customer inquiries
- Set automated response: “Thanks for reaching out. We’ll respond within 24 hours.”
- This increases customer engagement

- Store credentials in Task Tracker

- Note conversion to Business Page complete
Platform 4: Instagram

Create Account
- Navigate to instagram.com
- Click “Create new account”
- Use business email
- Create password (strong, store in Task Tracker)
- Enter name (business name, not personal)
- Verify email or phone number

Create Username
- Instagram username: @BusinessName (no spaces, lowercase)
- Keep it consistent with other platforms if possible
- Username cannot be changed easily later, so choose carefully
- Ideally 15 characters or less

Convert to Business Account
- After account creation, go to Settings (gear icon)
- Select “Account type and tools”
- Choose “Switch to professional account”
- Account type: “Business”
- Category: Select business category (e.g., “Professional Services,” “Local Business”)
- Contact info: Add phone and/or email

Complete Professional Profile
- Bio: 150 characters max, benefit-focused with CTA
- Example: “Professional landscaping for [Service Area]. Free consultation. DM or call 555-1234”
- Profile photo: Logo or professional headshot (square)
- Website link: Homepage URL (Instagram allows only 1 clickable link)
- Business hours: Add hours (if applicable)
- Call/Message buttons: Enable for customer contact
- Bio: 150 characters max, benefit-focused with CTA

- Create story highlights (About, Services, Portfolio)
- Helps organize profile content and provides quick access to key info
- Example highlights: “Our Team,” “Projects,” “Testimonials”

Platform 5: LinkedIn

- After account creation, go to “Me” (profile icon)
- Select “Create a company page”
- Choose “Company”
- Fill in company information:
- Company name: Official business name
- URL slug: linkedin.com/company/yourcompany
- Website: Homepage URL
- Company size: Select range (1-10, 11-50, etc.)
- Industry: Select appropriate category
- Company type: Select (B2B, B2C, Non-profit, etc.)

Complete Company Profile
- About section: 2-3 sentence company description including mission/services
- Logo: High-resolution version (1200x627px optimal)
- Banner image: Professional branded image
- Tagline: Short description of what company does (120 characters max)
- Specialties: Add 3-5 key service areas
- Contact info: Phone, email, address
- Website links: Add if multiple locations or service pages available

Enable Company Updates
- Confirm ability to post company updates (news, announcements, job postings if applicable)
- This establishes company as active and engaged

Add Team Members (Optional)
- If client wants employee profiles to link to company page:
- Ask client to create personal LinkedIn profiles first
- Then add to company page as employees
- Provides credibility and team visibility
- This is optional and can be done later

- Flag any issues (account locked, verification required, etc.) to CSM immediately

SECTION 6: TROUBLESHOOTING & ESCALATION

Troubleshooting:
- Confirm email address is correct (check for typos)
- Try “Forgot Password” to recover existing account
- If client has existing personal account: Ask client to convert personal account to business account instead
- If email truly belongs to another business: Use alternative email or dedicated social inbox
Escalation: CSM to clarify email ownership with client
Profile Created But Cannot Log Back In
Section titled “Profile Created But Cannot Log Back In”Symptom: Profile created successfully, but stored credentials don’t work on second login
Troubleshooting:
- Verify password was copied correctly (no extra spaces or characters)
- Try password reset: “Forgot Password” → Use business email
- Confirm email verification was completed
- Check if two-factor authentication is required (should be disabled by default)
- Log in via incognito mode to test
Escalation: If password reset email not received, may be email issue → Escalate to Ops Lead
Business Account Conversion Doesn’t Appear
Section titled “Business Account Conversion Doesn’t Appear”Symptom: Platform prompts to convert to business account, but toggle/option not visible
Troubleshooting:
- Refresh page and check Settings again
- Wait 24 hours for new account to fully activate
- Some platforms require minimum profile completion before business conversion available
- Try logout and login again to see updated options
- Check if platform has different terminology (e.g., “Professional Account” vs. “Business Account”)
Escalation: If issue persists on specific platform, note which platform and escalate to CSM
Profile Not Appearing in Search Results
Section titled “Profile Not Appearing in Search Results”Symptom: Profile created and publicly visible, but Google search doesn’t show it
Troubleshooting:
- This is normal for newly created profiles (takes 24-72 hours for Google indexing)
- Wait 72 hours and retest
- Directly access profile URL to confirm it exists and is public
- Verify profile privacy settings are set to “Public” not “Private”
- Search platform directly first (e.g., site:x.com/username) to confirm profile is indexed there
- Create sitemap link if social platform provides submission option
Escalation: If profile still not appearing after 1 week, escalate to CSM
Credentials Not Storing Properly in Task Tracker
Section titled “Credentials Not Storing Properly in Task Tracker”Symptom: Password or login info corrupts or doesn’t display when reviewing Task Tracker
Troubleshooting:
- Verify Task Tracker credentials format (should be plain text or secure encrypted field)
- If using plain text: Switch to using Task Tracker’s “Secure Field” or password manager
- Re-enter credentials carefully, avoiding special characters that might cause issues
- Confirm no copy-paste formatting issues
Escalation: Ops Lead for Task Tracker security/storage issues
